Use the reply-signature setting to add a consistent staff sign-off to ticket replies handled by PD AI Assistant. Review it before applying a draft, especially when several staff members use the assistant.

Edit the template

1. Open PD Modules → PD AI Assistant → Settings → Data & privacy.
2. Find Reply signature.
3. Edit Signature added to AI-drafted ticket replies.
4. Use {staff_name} where the staff name belongs and {company} for the company name.
5. Review the other settings on the tab and choose Save.

For example, a short template can say “Kind regards,” followed by the staff-name placeholder and the company-name placeholder on separate lines. Keep contact details and support wording consistent with what your team actually uses.

An explicitly blank signature disables the added sign-off. The default template is used when the setting has never been configured; a blank saved value is a deliberate choice rather than a request to restore that default.

Understand when it is used

In the native Pending-actions reply path, the signature is resolved when the applying staff member carries out the reply. If the configuration changes after a draft was reviewed, check it again before Apply. A draft containing another manually written sign-off may need review to avoid inconsistent or repeated signatures.

Changing the setting does not rewrite replies already sent. It is not an account-wide email-template editor and does not authorise sending an otherwise unapproved reply.

Check without sending a test reply

Reopen the setting to confirm the saved template. Review the next legitimate draft and its intended final sign-off as part of that actual support task, rather than posting a real reply merely to test configuration.

After an authorised reply is applied, inspect the normal ticket thread for the staff name, company and content. If the signature is missing or duplicated, retain the redacted template/placeholder observations and symptom while your hosting team checks the applied sign-off, without sending a private customer thread.
