Use Memory for short, durable facts the assistant should consider in later conversations: a writing preference, a support-hours statement or another approved business fact. Use the knowledge-source feature for longer procedures and reference documents.

Add an approved business-wide fact

1. Open PD Modules → PD AI Assistant → Settings → Advanced.
2. Find Memory and Add a fact.
3. Enter one clear fact in Something PD AI Assistant should always remember.
4. Choose Remember.
5. Check Remembered facts for the saved wording, scope and saved by you label.

For a house-style example, use wording such as “Use British English and keep replies clear and concise.” Avoid placing credentials, private account details or an individual customer’s circumstances in a business-wide fact.

Understand the scope

Manual entries on this form are business-wide. They are not restricted to one customer merely because you include that customer’s name in the text. The assistant can also learn per-client facts during a relevant workflow; the list distinguishes those from Whole business entries.

Customer-facing prompts use manually authored business-wide facts and the appropriate client’s scoped facts. AI-authored business-wide facts are treated differently from your manual entries. Check the displayed provenance rather than assuming that asking the chat to remember a sentence is equivalent to adding it yourself here.

Review and retire old wording

Ask a new, controlled question that should use the saved style, then inspect the answer. Memory influences the prompt; it is not a guarantee of exact wording or a replacement for checking factual answers.

Use Forget on the specific remembered fact when it is outdated or should no longer be recalled, and confirm the action. This removes that saved fact, not earlier answers, conversation history or documents containing the same wording. If replacing a statement, review the list for conflicting old versions.

The list shows recent memories. If an older fact is not visible or the provenance is unexpected, retain the original redacted observation while your hosting team checks scope and recent-list limits; do not attempt an internal repair.
