How to add reference text to PD AI Assistant in Blesta

Add approved reference text under Knowledge when PD AI Assistant needs your own procedures or product information. This creates a custom knowledge source for answers; it does not publish an article in your normal Blesta knowledge base.

Choose the document and audience

Prepare a clear, current piece of text that the intended readers may use. Give it a recognisable title so you can identify its citation later. Remove credentials and unrelated personal or account information before adding it.

Staff only restricts which assistant surface can retrieve the source. It does not prevent its passages from being sent to the connected embedding provider for indexing, or from being used by the AI provider when answering an authorised question.

Index the text

  1. Open PD Modules → PD AI Assistant → Settings → Knowledge.
  2. Check the indexing-provider notice. Resolve an embedding or connection error before adding material.
  3. In Add a source, enter a Title.
  4. Choose Who can this reach?: Staff only — the admin co-pilot or Staff + your customers — also the client-area assistant.
  5. Paste the reviewed text into Or paste the text.
  6. Choose Add to knowledge base and inspect the result.

A customer-visible source is shared reference material for the customer assistant. It is not a private document for one named client. Keep client-specific records out of that shared scope.

Verify retrieval

Check Indexed sources for its title, Visible to, passage count and Embedded with provider. Ask the staff assistant a question whose answer is explicitly in that source, then compare the response and cited title with the original text.

A successful index means passages were stored; it does not prove the assistant will retrieve the right passage for every question. Keep documents focused and verify the details that matter.

Keep sources current

Retain the original approved text outside the assistant. Re-adding a source creates another indexed entry rather than editing the old one. Review and retire superseded entries deliberately so conflicting procedures do not remain available together. If indexing returns an uncertain result, check the source list before retrying.
