How to create reusable PD Notes templates in WHMCS

Use a PD Notes template for a repeatable onboarding checklist, migration handover or follow-up structure. A template supplies the starting body for a new note in WHMCS; staff still choose the account, review the text and save the actual note.

Save the reusable body

  1. Open PD Notes → Templates → New template.
  2. Enter a clear Name, such as “Service handover”.
  3. Write the reusable text in Body. Both name and body are required.
  4. Choose Create template, then check it in Templates.

Keep the saved body generic. For example, use “Agreed next action:” and “Owner:” as prompts to complete manually. Do not put one customer’s private information or a live credential into a template intended for other accounts. A template is not a promise that typed placeholders will be filled automatically.

Start an account note from the template

Open All Notes and choose the relevant From: quick-start button. Only the first six templates are offered as quick-start buttons. For another saved template, open New note and use the template selector.

Choose the template and attachment before writing customer-specific changes: these selectors reload the form. Select the intended client and, when applicable, their service or domain. Review the pre-filled body and replace your manual prompts with the actual agreed information. Enter a title, labels and any reminder separately, review visibility, then choose Create note.

Maintain the template without changing past notes

Use Templates → Edit and Save changes for future notes. Existing notes hold their own saved body; changing the template does not rewrite them. Open and edit an existing note separately when its own wording needs correction.

Check the created note against the intended account and ensure no generic instructions or another customer’s details remain. If the template selector is absent, confirm a template was saved and reopen New note. Avoid repeatedly creating duplicate templates to troubleshoot a loading problem.
