How to show a PD Notes message to a client in WHMCS

PD Notes starts with staff-only notes. Use client visibility for a reviewed maintenance message or agreed next step that belongs in a customer’s WHMCS portal. Showing a note and actively emailing it are separate actions.

Enable the two visibility choices

  1. Open PD Notes → Settings and review Allow notes to be shown to the client.
  2. Enable it only when your staff intend to use client-facing notes.
  3. Open the intended client- or service-scoped note and choose Edit.
  4. Read the full body, check the account and tick Visibility to show that note to the client.
  5. Choose Save changes and check the portal using an account you control.

The master setting permits this feature; it does not mark every existing staff note visible. Previously marked notes can reappear when the master setting is re-enabled, so review their individual choices too. Domain notes stay staff-only and cannot use this client-facing workflow.

Find the displayed note

Client notes appear on the client home page; service notes appear on that service’s page. The displayed note is read-only for the customer. Marking visibility does not send the note by email; use Share when you deliberately want an email copy as well.

Hide a displayed note again

Edit that note, untick Visibility and save. Check the result on the intended account. Turning the master setting off suppresses the portal feature, but is not a substitute for reviewing individual notes before turning it back on.

Removing a portal display does not recall an email already sent or a copy the recipient kept. Keep internal handovers separate from customer-facing messages when they need different contents.

If the client cannot see the expected note, check the master setting, individual visibility, scope, correct account and relevant portal location. Compare the saved note and its actual portal location before changing visibility again.
