How to find, tag and pin PD Notes in WHMCS
A consistent note title and tag make account history easier to find as your WHMCS client base grows. Use PD Notes’ saved labels and All Notes controls to distinguish an urgent handover from routine account context.
Label the note
- Open the note in PD Notes → All Notes and choose Edit.
- Give Title a short description of the work, such as “Migration follow-up”.
- Choose a Colour from General, Info, VIP, Watch, At-risk or Billing.
- Enter a consistent free-text Tag, such as “Onboarding”.
- Tick Pin for a note that should stay prominent, then choose Save changes.
A tag is a label, not a separate note folder or a change to the client’s billing status. Agree spelling with colleagues so the same workflow is not labelled several different ways.
Search and narrow the list
Open All Notes, enter a term in Search and press Search. The text search checks titles, note bodies and tags. Select Scope and Colour to narrow the result to the relevant kind of note. Search for a tag through the same Search box; this screen does not offer a separate tag-only filter.
Check the target shown in Where before opening or editing a result. The same client may have notes on several services. Clear the search and reset Scope and Colour when a note seems to be missing.
Keep important notes visible
Pinning promotes notes in the default saved ordering. The list also offers title and reminder sorting, so an explicit sort can change what appears first. Use the page controls and, on a large result set, Previous or Next to reach later server pages.
Choose Pin or Unpin from a row when you need to change prominence quickly. Reopen the intended client or scope to check the result. Colours, tags and pins do not make a staff note visible to a customer or send an email.
