How to share a PD Notes handover with a colleague in WHMCS
Send a PD Notes handover directly to a colleague when another member of your WHMCS team needs account context. The colleague sharing action emails a copy of the note; it is separate from client sharing and from assigning a reminder.
Review the account and contents
Find the note in PD Notes → All Notes and open it. Check the account or service shown in its attachment, then read the complete note. The sharing preview includes the saved body, so remove unnecessary private material before sending a copy to someone who does not need it.
Client, service and domain notes can use the colleague route. It does not require turning on client-visible notes. Use your normal staff-access process if the intended colleague is missing from the selection rather than choosing an unrelated recipient.
Email the handover
- Choose Share on the note or its row.
- Use Share with a colleague and select Colleague.
- Enter an Optional message, such as the action or question you want them to review.
- Choose Email to colleague and read the result.
- Confirm receipt through your normal work process when the handover is time-sensitive.
The colleague send does not itself turn on client visibility. If the note was already visible to the client, that earlier choice remains: choosing a colleague does not make a previously shared note private again.
Keep responsibility clear
Emailing a colleague does not change the note’s reminder assignee or mark the follow-up done. Edit the reminder separately if ownership changes, then check Reminders for the updated assignee and date.
A success response means the mail operation was accepted, not that the colleague read or acted on it. For an uncertain result, check mail history before sending another copy. If sending fails, check the chosen colleague’s active account and address through your normal administrator workflow.
