How to find and download a signed agreement in WHMCS

Use the recorded acceptance to retrieve the wording and version a customer signed. Editing the current working text is not a way to change an earlier signed copy.

Find the acceptance

Open PD Modules → Agreements → Agreements. On the intended agreement row, choose Signatures, or use the module’s signed-agreements section.

  1. Select the intended document in the agreement filter if needed.
  2. Check the customer, signed date, document version and Status on the row.
  3. Distinguish a Valid record from a Revoked record.
  4. Choose Evidence PDF on the intended acceptance.

The signed list shows recent records. Use the document filter rather than assuming a record does not exist because it is absent from the initial list.

Review the downloaded record

The evidence record includes the accepted document text, version, recorded acceptance details and content fingerprint. Typed-name and drawn-signature details appear as applicable. IP address and browser details depend on Record IP address and browser with each signature; do not expect those fields to be populated for every acceptance.

When PDF generation is available the record downloads as a PDF. Otherwise the module serves a print-ready page containing the record. A print-ready page is not a missing acceptance and does not require republishing the agreement.

The company name and Footer line on evidence PDFs come from current settings when the output is generated. The accepted wording remains tied to the version that was signed; do not treat every display detail as a frozen snapshot of old company settings.

Let customers retrieve their own copies

Open Agreements → Settings and review Let customers download their own signed copies. It is enabled by default. The customer’s Agreements page lists their signed records and offers a download when permitted.

A customer must be signed in to the account that owns the acceptance. Turning off customer downloads removes that self-service download access; staff can still retrieve records through the signed list. Do not publish evidence URLs as public examples or share another customer’s record.

If a copy is missing

Check the document filter, correct account, version and whether the attempted action actually completed. If a customer cannot download, check the download setting and their signed-in account before treating it as a lost record.

Archiving a document does not erase earlier signatures. Deleting a document retains versions referenced by collected signatures, but it is not a way to preserve every unsigned draft.

Your hosting team should retain the document/version and acceptance reference plus the redacted result while checking the correct filtered list and download surface. Keep real signatures, customer details and confidential agreement contents out of screenshots shared unnecessarily.

Check the recorded acceptance and download

Your hosting team should compare the document filter, correct customer account, acceptance version/status and download setting with the original retrieval result. The initial recent-record list is not a complete absence check, and print-ready output is a supported alternative when a PDF is unavailable. Inspect the existing recorded acceptance rather than republishing wording or collecting a replacement signature.
