How to archive and restore an agreement in Blesta

Archive an agreement when you want to stop requesting it while retaining its existing document and signature records. Use the archive controls when pausing a document, rather than removing its targets or deleting it.

Check the intended document

Open PD Modules → Agreements → Agreements. Find the agreement by name and review its status and live version. If you intend only to change its wording, use Edit and the version workflow instead of archiving it.

Check which customers currently receive the agreement and whether it is required. Archiving stops new requests for that document; it does not mean customers signed it or accepted replacement wording.

Archive it

  1. Choose Archive on the intended agreement row.
  2. Read the confirmation and confirm the action when ready.
  3. Check the returned result.
  4. Use Show archived to find the archived row and confirm its status.

The normal list hides archived rows. An agreement disappearing from the default view is therefore not evidence that its records were deleted.

An archived agreement is no longer an active signing request. Earlier signatures and their accepted versions remain records you can inspect. If a customer already has a signing screen open, check the resulting state rather than assuming archiving removed text already displayed in that browser.

Restore an archived agreement

Use Show archived, identify the intended row, then choose Restore. A document with a published version returns as published; one without a published version returns as a draft.

Restoring a previously published agreement can make it applicable again immediately, using its saved audience, timing, method and current version. Review those controls and the earlier re-acceptance decision before restoring it. Restoration is not a request to publish new wording or collect every signature again.

After restoring, check the status and review a suitable controlled account’s expected request. Existing valid acceptances continue to matter when deciding whether that account still owes a signature.

Keep deletion separate

Delete agreement is a different action in the editor with an irreversible confirmation. The module preserves versions referenced by collected signatures, but unsigned versions can be removed. Archiving is the appropriate control when your intention is to pause and later restore the document.

If an archive or restore result is uncertain, inspect the status and archived list before repeating the action. Your hosting team should retain the document/version reference, intended action, original attempt time and redacted result while checking the actual status. Do not delete records or share private signed copies to diagnose an uncertain archive result.

Check the archived or restored status

Your hosting team should compare the original Archive or Restore result with Show archived, the document’s current status and whether it has a published version. A row hidden from the normal list is not proof of deletion. Before restoring, review the saved audience, timing and existing acceptances because a published document can become applicable again. Do not use Delete agreement or revoke signatures to diagnose an uncertain archive operation.
